UNM John Donald Robb Musical Trust Grant Proposal Criteria & Guidelines

Note: Relative to the current serious economic situation, the Trust is temporarily unable to fund grants.

Grant Criteria

Grants of up to $3,000 may be awarded at the discretion of the UNM John Donald Robb Musical Trust. Proposals made by individuals or organizations must fulfill one or more of the following criteria:

  1. Support the study, propagation, production, and/or performance of the music of John Donald Robb.
  2. Support the preservation, maintenance and/or improvement of the John Donald Robb Archive of Southwestern Music - primarily those items contributed by John D. Robb, as well as other materials contributed to the University of New Mexico Libraries by Robb, including music scores, recordings, books, personal papers and materials related to his students.

Proposals will be judged on the basis of how closely the intended project represents the goals of the John Donald Robb Musical Trust as stated in Criteria A and B above.

Proposals will also be evaluated on the quality of the project. Clarity of intent and overall plan stated in the proposal, management of project components, methods for evaluating success of the project and proposed outcome or impact will all be considered.

Brief (one page) progress reports will be required at 3, 6, and 9 month intervals. The reports should include expenditures as well as progress toward goals and objectives. All grant recipients are required to submit a final written report on the results of the project, including expenditures of grant funds.

Guidelines

Grant proposals are to be developed and written in accordance with these guidelines, submitted in triplicate (3 copies), and must contain the following:

  1. One page Cover Letter signed by the applicant, including name, phone number, web site, and e-mail address.
  2. Project Summary:
    • Goals, Objectives, and Scope
    • Need for the project
    • Start and end dates of the project
    • Who will be served?
    • Expected results
  3. Specific Amount Requested and Specific Use of the Funds.
  4. A list of Key Staff (if applicable) and a brief statement of the capability of personnel responsible for project implementation.
  5. Funding: Information on recent grants received and pending proposals for other funds, as well as plans for additional funding for this project.
  6. Evaluation: Plans for evaluating the success of the grant, including financial accountability.
  7. Continuation of the Project: Plans for continuation of the project following the grant period.

The following attachments must be provided:

  1. Detailed Project Budget - line item estimate of income and expenses.
  2. Detailed copy of the Organization's (if applicable) Current Fiscal Year Operating Budget including year-to-date information.
  3. Financial Statement (if applicable) for the most recent completed fiscal year including balance sheet (audited, if available).

Successful grant recipients will receive a Grant Agreement which requires a signature indicating willingness to administer the grant from the Executive Director/Chief Executive Officer or Officer of the Board of the organization, or if the recipient is employed by an educational institution, a signature from the Chair/Dean of the department and/or college or from the Principal/Superintendent of the school is necessary.

Include supporting documentation, videotapes, CD’s, DVD’s, etc., if they are considered essential to the request for funding. To have Grant Proposal supporting materials returned, please include a self-addressed, pre-paid envelope or appropriate packaging for the materials, or they may be picked up in person. The UNM Robb Trust will take every precaution to safeguard the materials that are submitted, but the Trust is not responsible for any theft or damage that may occur during the time materials are in its possession or in the process of being returned.

Funding for successful grants is on a fiscal year basis, June 30-July 1.

Incomplete Proposals will not be considered.
